Real-time booking

bookingtime works in real-time. It allows you to immediately see availability of all appointments. This means, from the second an appointment is booked, it is no longer available.

This also applies to all listed resources, which are no longer available for the selected period. It eliminates the possibility of double bookings of an appointment or a resource. You and your customers will have the assurance that the booked appointment is confirmed and will actually take place. Follow ups for confirmations are not required, which saves (your) time. Of course appointments can also be moved or cancelled in the event of unexpected eventualities.

E-mail / text message* reminders

From times, if an appointment is not directly noted, it can be easily forgotten. This can be annoying, especially for you as the service provider.

Our notification service can avoid such nuisances. You have the option to set up automatic reminders via e-mail and/or text messages* for your customers. It reduces the no-show rate and thus increases your planning reliability.

Notifications on client activity

bookingtime will inform you about your customers’ activities. Once an appointment has been booked, moved or canceled, you will receive a notification via text message* and/or email.

If requested, the employee listed for this appointment can be notified as well. It assures you to always stay informed about your appointments and react to changes, as they occur.

Daily and weekly calendar

Every appointment booking software requires a calendar. We have different calendar viewing options. You can choose between a detailed daily schedule and a neatly arranged weekly calendar.

Both are highly customisable to meet your specific needs. Choose which appointment types and resources should be displayed and share this configuration. That way, every employee receives a personalised calendar for example.

Individual appointments and courses

You need individual appointments, courses with several participants or other recurring group events? No problem. Our course booking option enables you to make appointments with several participants.

You can define the number of participants for each course.

Personal microsite

We want you to use bookingtime even if you don’t have your own website. Therefore, we provide you with a personal microsite. The microsite holds essential information about your business and enables your customers to book appointments with you.

Easily integrated client booking module

You already have a website and would like to offer your customers the possibility to book appointments online? Our client booking module can be easily integrated in your current website and is already optimised for mobile devices.

Complete Customer Management

Create customers, edit and manage contact details, send birthday greetings and take a look at past and future appointments of individual customers. You can access all data it in the customer administration panel.

Calendar Sync

We want you to know about the upcoming appointments – anywhere at anytime. Therefore, you can synchronise your usual calendar (e.g. iCal, Outlook, Google Calendar etc.) with bookingtime and look at your appointments on any smartphone or tablet.

Our system will automatically transmit every event to the registred calendar at regular intervals. You don’t even have to log in to bookingtime to see them.

Staff management

Manage your employees with bookingtime. Enter individual working times, contact information for notifications and give them some vacation days – everything in booking time.

Guest booking / Registration

You can decide whether your customers need to register once or are able to book appointments as a guest. Registered customers have the added benefit of easily being able to book, move or cancel their appointments within their bookingtime account.

Furthermore, you will be able to specify mandatory fields for completion of the registry, e.g. telephone numbers or email addresses.

Availability of Appointments

Some of your appointments are only offered at certain times or they are unique events? That’s no problem for bookingtime.

Simply arrange your appointment types and availabilities to set-up the desired times. Flexible for the whole year.

Customizable texts

To tailor bookingtime even more to your needs, you can customise the content of the emails/SMS your customers will receive – adding a personal note.

There are several placeholders serving this purpose, e.g. the date of the appointment or addressing your customer in a gender specific form. The placeholders will be replaced automatically by the actual data.

Log

Each branch at bookingtime has its own system log. All changes, promotions, postings etc. that occur are registred in real time.

The log can be viewed by the admin or your staff, depending on the user permissions they have. Look up when and by whom changes were made.

Standard access permissions

Employees often require different levels of access permissions depending on their level of responsibility and position within the company.

Employees can be assigned to pre-defined staff groups e.g. – managerial, operations or admin. This way, mapping your corporate structure is simple, straightforward and convenient especially for larger companies with a high number of employees. You can i.e. provide the "branch manager" with more rights than the group "employees with restricted access".

Individual access permissions

You want more control over each employee’s access permissions? The staff permission management panel allows you to define each employee’s permissions individually.

This is the right choice, when the predefined user groups are not sufficient for your needs.

Your patient requires a specialised scan which can only be conducted in a dedicated and specially equipped room with specific equipment and suitably trained personnel. You can book the required resource (venue, personnel, equipment) for the application and time needed. The resource optimisation management tool is now workimgh its magic and allows the equipment to be used by other parties at the times it isn’t needed. This ensures maximum optimisation and utilisation of the resources at all times.
